This Rental Policy outlines the terms and conditions governing car rentals provided by Kigali Car Rental in Kigali, Rwanda. By booking a vehicle with us, you agree to adhere to the policies outlined below. We strive to make your Kigali car rental experience smooth and hassle-free.

1. Booking Process

1. Reservation: You can make a reservation through our website (https://kigalicarental.com), by phone ((+) 250 795 128 241), Email (admin@kigalicarental.com, or in person at our office located at 24QG+37V, KK 13 Ave, Kigali, Rwanda.

2. Information Required: When making a booking, you will be required to provide accurate information, including your full name, contact details (phone number and email address), preferred rental dates and times, pick-up and drop-off locations, and the desired vehicle category.

3. Confirmation: Upon successful booking, you will receive a confirmation email or message containing your booking details, including the rental period, vehicle type, agreed-upon price, and any additional services requested. Please review this confirmation carefully and notify us immediately of any discrepancies.

4. Availability: All bookings are subject to vehicle availability. We will make every effort to provide you with the vehicle category you requested. However, in the event of unavailability, we reserve the right to offer a similar or upgraded vehicle at no extra cost.

2. Cancellation Terms

We understand that plans can change. Our cancellation policy is as follows:

1. If you cancel your booking more than 24 hours prior to your scheduled pick-up time, you will be entitled to a Full Refund, minus any applicable processing fees.

2. In the event of a no-show (failure to pick up the vehicle at the agreed-upon time and location without prior cancellation), a 40% may be charged, and the booking will be considered cancelled.

3. To cancel your booking, please notify us via phone or email at least 1 day and 6 hours before your scheduled pick-up time. Please include your booking reference number in your cancellation request.

3. Payment Options

For your convenience, we offer the following payment options for your Kigali car rental:

1. Mobile Money: We accept payments via major mobile money platforms available in Rwanda, such as MTN Mobile Money, and Airtel Money.

2. Credit/Debit Cards: We accept major credit and debit cards, including Visa Card, Mastercard, and Smart Card.

3. Cash: Payments in cash (Rwandan Francs - RWF) are accepted at our office upon vehicle pick-up.

4. Payment at Booking: Depending on the booking type and promotional offers, full or partial payment may be required at the time of booking. This will be clearly communicated during the reservation process.

4. Driver Requirements

To rent a vehicle from our Kigali car rental agency, the primary driver must meet the following requirements:

1. The driver must possess a valid and unexpired driver's license recognized in Rwanda. International driving permits are recommended for drivers whose licenses are not in English or French. Please present your original driver's license at the time of vehicle pick-up. Copies will not be accepted.
2. The minimum age to rent a vehicle from Kigali Car Rental is 20 years.
3. The primary driver must present a valid form of government-issued identification, such as a national ID card or passport, at the time of pick-up.
4. We reserve the right to refuse a rental if the driver has a history of serious traffic violations.

5. Vehicle Pick-Up and Return

1. Please arrive at the agreed-upon pick-up location at the scheduled time with all required documents (driver's license, identification, booking confirmation, and payment method). Our staff will inspect the vehicle with you and document any existing damage before you take possession.
2. The vehicle must be returned to the agreed-upon drop-off location on the specified date and time. Any delays in returning the vehicle may result in additional charges as per our late return policy. The vehicle will be inspected upon return, and any new damage will be assessed.
3. The fuel level will be noted at pick-up, and the vehicle should be returned with a similar level. You will be responsible for any fuel difference.

6. Insurance

1. Basic insurance coverage is included in the rental price.
2. You are responsible for any damage to the vehicle not covered by the included or optional insurance, as well as any damage caused by negligence or violation of this Rental Policy.

7. Prohibited Use

The rental vehicle shall not be used for the following purposes:

1. Carrying passengers or goods for hire or reward (unless specifically authorized in writing).
2. Towing or pushing any other vehicle or trailer.
3. Participating in any illegal activity or race.
4. Driving under the influence of alcohol or drugs.
5. Subletting or allowing any other person to drive the vehicle who is not an authorized driver as per this policy.
6. Transporting hazardous materials.

8. Accidents and Damages

In the event of an accident, damage to the vehicle, or theft, you must:

1. Immediately notify the police and Kigali Car Rental.
2. Obtain a police report
3. Exchange information with any other parties involved.
4. Not admit liability.
5. Complete an accident report form provided by Kigali Car Rental.
6. Cooperate fully with our insurance company and any investigations.

You will be responsible for any damages to the vehicle not covered by insurance, subject to the terms and conditions of your rental agreement.

9. Governing Law

This Rental Policy shall be governed by and construed in accordance with the laws of the Republic of Rwanda.

10. Amendments

Kigali Car Rental reserves the right to amend or modify this Rental Policy at any time without prior notice. The latest version of the Rental Policy will be available on our website.
